We’re really sorry, but all tickets are non-refundable and non-cancellable once booked. This includes if you change your mind or can no longer attend.
However, we know life happens – so there are two options to give you a little more flexibility:
Can I give my ticket to someone else?
Yes! If you’re the account holder, you can transfer your entire booking to a friend or family member.
To do this:
Go to your booking in your Easol dashboard
Select "Transfer Booking"
Enter the new lead booker’s name and email
The original tickets will be cancelled and brand new ones sent to the new booker.
Please note: We cannot split bookings – the full booking must be transferred to one new lead booker.
What is Booking Protection and should I get it?
If you're worried about the unexpected, we strongly recommend taking out Booking Protection at checkout.
For a small fee of around 7–10% of your booking total (for example, if your ticket is £300, protection would cost approximately £21–£30), you can get a refund through Cover Genius if something covered prevents you from attending.
What’s typically covered:
✔️ Travel disruption
✔️ Illness or accident (you or close family)
✔️ Jury or military duty
✔️ Personal emergencies (e.g. burglary or fire)
✔️ Extreme weather
✔️ Pregnancy complications
All claims are handled by Cover Genius (our trusted partner), so you don’t need to contact us — just reach out to them at:📧 partners.support@xcover.com
Please note:
You must add Booking Protection at checkout – it can’t be added later.
It’s only available if your billing address and our business are both in eligible countries (like the UK).
The protection fee is non-refundable and not part of your ticket cost.
If you are booking for more than 10 people please email amber@thebigretreatwales.co.uk for a group discount.

You can choose to stay off site and enter the festival everyday.
Please ensure you buy a weekend car park ticket and park in the Day Car Park to ensure ease of getting in and out of the festival daily.
General Check in from 9am on Friday - Check out no later than Monday 6pm
If you would like to bring your own tent please purchase a Camping Ticket per person.
There is no limit to tent size but please respect the people around you.
There are posh loos and showers available for everyone staying on the campsite, with 24hr security and a First Aid Station.
The campsite has 4 wash-up stations, and stand pipes at each station with drinking water.
On arrival you can choose which area to camp in:
General Camping - If you want to be in the thick of it this is the place for you. Bring along your tent and pitch up for the weekend - please leave a 2m space between each tent - there is plenty of room.
Family Camping - This area is for those camping with children. There is a football pitch and volley ball court near the family camping. Family camping is close to the loos and showers for those late night requests.
Quiet Camping - This area is furthest away from the main arena and for people wanting a quieter experience - please note there are no under 8s allowed in this area.
Although it is a short 5 minute walk from the car park to the check-in area there is a FREE shuttle service for those with a lot of luggage or any health issues.
There can be a wait for this service as it is free and can be very busy during peak arrival times.
If you prefer you can grab one of the wheel barrows at the car park but please return them so others can use them.
Check in from 9am on Friday - Check out no later than Monday 6pm
