The Big Retreat Festival – Terms & Conditions
By purchasing a ticket to The Big Retreat Festival, you agree to these Terms & Conditions on your own behalf and on behalf of anyone you are purchasing tickets for, including those under 18.
1. Definitions
- “Event” means the specific Big Retreat Festival you have purchased a ticket for
- “Promoter”, “we”, “us”, “our” means The Big Retreat Festival and Lawrenny Park Retreats Ltd
- “You”, “your”, “ticket holder(s)”, “guest(s)” means any person attending using a ticket
- “Ticket” includes any valid ticket, email confirmation or wristband
All tickets are sold subject to these Terms & Conditions. Entry to the Event constitutes acceptance of these Terms.
2. Acceptance & Changes
We reserve the right to update these Terms at any time. The latest version will always be available on our website.
Any instructions, signage or announcements at the Event also form part of these Terms.
Breach of these Terms may result in refusal of entry or removal from the Event without refund.
3. Ticket Purchase & Use
- Tickets are non-refundable, non-transferable and non-exchangeable
- Tickets remain the property of the Promoter
- You must retain your ticket/wristband at all times
Tickets will be invalid if:
- Purchased via unauthorised sellers
- Resold for profit
- Altered or copied
Official resale platform: Tixel only
Lost or stolen tickets are not guaranteed to be replaced.
4. Ticket Transfers Between Events (Important)
Tickets are strictly not transferable between events.
- Pembrokeshire tickets are valid only for Pembrokeshire
- Cambridgeshire tickets are valid only for Cambridgeshire
- Tickets cannot be moved, exchanged or credited between events
Each festival is a separate event with its own capacity, licensing and costs.
If you can no longer attend, you may resell via Tixel only.
We are unable to make exceptions to this policy.
5. Admission & Security
Entry is only permitted with a valid ticket.
All attendees consent to security searches. Refusal may result in refusal of entry or removal.
We reserve the right to refuse entry or remove anyone for:
- Safety or licensing reasons
- Anti-social or abusive behaviour
- Being under the influence of drugs or excessive alcohol
- Breach of these Terms
No refunds will be given.
6. Age Policy
- Under 5s: Free (ticket required)
- Ages 6–17: Concession tickets required
- Under 14s: Limited access to some activities
- Under 16s must be accompanied by an adult (max 3 per adult)
Challenge 25 applies. Valid ID may be required.
Alcohol rules:
- Under 18s: no alcohol
- Supplying alcohol to minors = removal
7. Programme & Event Changes
The Event programme, schedule, presenters and activities may change.
Tickets are for the Event as a whole, not specific acts or sessions.
No refunds for:
- Line-up changes
- Timetable changes
- Missed sessions
8. Workshops & Activities
- Entry is subject to capacity
- Some sessions require queuing
- Access is not guaranteed
Participation is at your own risk.
9. Attendee Waiver & Release of Liability (Important)
By purchasing a ticket and attending the Event, you agree to the following:
9.1 Activities
The Event includes yoga, fitness, workshops, outdoor activities, water-based activities, food experiences and more (“Activities”), delivered by independent instructors.
9.2 Assumption of Risk
You understand that risks include, but are not limited to:
- Physical exertion and injury
- Uneven terrain, slips and falls
- Weather conditions
- Wildlife and natural hazards
- Equipment failure
- Injury caused by other participants
- Illness, heat exhaustion, heart complications
- Serious injury or death
You voluntarily accept all risks.
If you feel unwell, you must stop immediately and seek assistance.
9.3 Release of Liability
You release The Big Retreat Festival, Lawrenny Park Retreats Ltd and all associated staff, instructors, contractors and partners from any claims arising from participation, except where liability cannot be excluded by law.
9.4 Health Responsibility
You confirm:
- You are fit to participate
- You take responsibility for your own wellbeing
- You have informed anyone you purchased tickets for
9.5 Third Parties
We are not responsible for the actions of instructors, presenters or other attendees.
9.6 Binding Agreement
This waiver applies to you and your dependents, heirs and representatives.
9.7 Photography
By attending, you consent to photography and filming for promotional use by The Big Retreat Festival and its partners."
9.8 Booking for Others
You confirm all attendees in your booking accept these Terms.
If you do not agree, you must not attend the Event.
10. Health & Safety
The Event takes place outdoors on natural terrain.
You are responsible for:
- Wearing appropriate clothing and footwear
- Supervising children
Loud music may be present.
Carbon Monoxide Safety (Important)
Carbon monoxide is a colourless, odourless gas that can be fatal.
The use of any fuel-burning equipment inside tents or enclosed spaces is strictly prohibited.
This includes:
- Tents
- Campervans
- Awnings or enclosed shelters
Exposure can cause serious illness or death.
If you feel dizzy, nauseous or unwell, seek medical help immediately.
Failure to comply may result in removal from the Event.
11. Prohibited Items
Prohibited items include:
- Drugs or psychoactive substances
- Weapons or replica weapons
- Fireworks, flares or explosives
- Drones (strictly prohibited)
- Any unsafe item
Items may be confiscated and you may be removed.
12. Camping
Camping requires a valid weekend ticket.
You must:
- Camp in designated areas
- Follow steward instructions
Fire Safety (Strictly Enforced)
BBQs, fire pits and open fires are not permitted anywhere on site.
This includes:
- Disposable BBQs
- Raised BBQs
- Fire pits
- Any open flame
Items may be confiscated and you may be removed from the Event.
13. Alcohol & Food
- Personal consumption only
- Excess alcohol may be confiscated
- No resale permitted
14. Personal Property
We are not responsible for lost or damaged belongings.
15. Waste & Environment
Leave no trace.All rubbish must be removed.
16. Accessibility
We aim to support accessibility, but terrain may be uneven.
Contact us in advance for assistance.
17. Unauthorised Tickets
Tickets from unofficial sources are invalid.
We may cancel tickets suspected of fraud or resale.
18. Refunds
Refunds only apply if:
- The Event is cancelled or materially altered (excluding force majeure)
No refunds for:
- Weather
- Personal circumstances
- Travel/accommodation
- Programme changes
19. Force Majeure
We are not liable for disruption caused by events beyond our control.
20. Attendance Restrictions
We reserve the right to refuse entry to any individual, including those on the VISOR register.
21. Legal
These Terms are governed by the laws of England and Wales.
22. Privacy
Your data is handled in accordance with our Privacy Policy.
Final Note
These Terms & Conditions form a legally binding agreement.
If you do not agree, do not purchase a ticket or attend the Event.
